Office Policies & Fees
Learn how payment, scheduling, refunds and warranties work at Trinity Dental Arts.
Fees and written treatment plans
Before treatment, you receive a written plan listing procedures and fees. Quoted fees are valid for 30 days; if you accept and schedule within that period, the price is locked for your scheduled date. Some treatments have a global fee; your plan explains what is included and how fees are allocated by treatment phase.
Estimates show practice fees, not insurance projections. Self-pay patients receive a written Good Faith Estimate under federal law. If treatment needs change, the practice discusses an updated plan and obtains your written approval before changes.
Signature Consultation
The $300 Signature Consultation covers the diagnostic visit, including the doctor's exam, necessary imaging and a written treatment plan. The fee is not refundable once the visit has occurred. The full fee is credited toward treatment begun within 30 days, with one credit per treatment plan and no cash value. Promotional offers are subject to their own terms.
Payment
Payment is due when you schedule. For plans over $200, a 50% deposit reserves your appointment and the balance is due before your visit date. If a pay-in-full discounted plan stops early, completed work is billed at regular fees; global-fee cases are prorated by phase.
The practice accepts cash, checks, major cards, Apple Pay, Google Pay and third-party financing. Statements show TRINITY DENTAL ARTS and receipts are provided.
Rescheduling and cancellations
Cancellation notice is counted when received by phone, text or email. Non-surgical visits require 48 hours' notice; timely cancellation permits a deposit refund or transfer. Short notice or a missed visit may incur $50 or up to 50% of the deposit for reserved procedure time.
Surgical visits require 5 business days' notice. Late cancellation may forfeit up to 50% of the deposit; a missed surgery without notice may forfeit up to the full deposit. For full-arch surgery, a $5,000 pre-op fee is earned and nonrefundable once pre-surgical work is performed. Cancellation within 48 hours may add a fee of up to $5,000, according to the signed schedule.
Documented medical emergencies are considered case by case. If the practice reschedules, you may choose a new date or a refund of unearned amounts. Frequent short-notice changes may require prepayment for future visits.
Refunds
Completed care and work already performed, including consultations, diagnostic records and planning, and custom lab work after fabrication begins, are earned. Unearned amounts are refunded. If treatment stops mid-plan, unperformed care is refunded less a 10% administrative fee, capped at the deposit; global-fee cases use the pre-agreed phase allocation.
Approved refunds are issued within 7–14 business days to the original payment method, to the financing account for financed payments, or by check for cash payments. Overpayments are returned.
Insurance
Trinity Dental Arts does not participate in insurance networks. As a courtesy, the practice can prepare and file claims. Estimates show practice fees without insurance projections, and any reimbursement goes to the patient or is credited and refunded if paid to the practice.
Card on file
A payment processor stores a card as an encrypted token; practice records retain only the card brand and last four digits. Charges require written authorization for approved deposits, cancellation fees, balances 30 or more days past due after a statement and three business days' notice, or agreed payment plans. A receipt is provided; you may change or remove your card.
Third-party financing
Financing is available through CareCredit, Cherry and Proceed, subject to credit approval. The lender sets the terms.
The lender's written terms control. Promotional no-interest terms apply only during the promotional period. Financing is charged for care delivered or scheduled within 30 days, with custom items handled according to lender rules; refunds return to the financing account. No surcharges or fees are added to financed payments.
Written full-arch warranties
Every level includes a written warranty. Coverage is 1 year for Fixed New Teeth™, 5 years for Signature, and 10 years for Premium. It starts when your approved final teeth are delivered. A maintenance plan is required to keep Fixed New Teeth™ and Signature coverage active. Premium includes the first year of maintenance. The written warranty lists covered items, exclusions and maintenance requirements.
Billing questions
For questions about a charge, call (727) 228-6846 or email info@trinitydentalarts.com. The practice responds within 10 business days. Nothing in these policies limits your rights regarding unauthorized or erroneous charges.
